Participating in Meetings Checklist
Does your department have staff meetings? Do
you attend meetings? If so, the
following checklist will help you become
an effective meeting participant and team player!
Tips for Meetings:
___ 1. Arrange
accommodations: If accommodation arrangements will be
needed, request the accommodation well in advance and follow request
procedures. Never assume accommodations will automatically be provided!
___ 2. Be prepared:
___ Take a notepad and pen to the meeting (or tape
recorder,
if used).
___ Take any resources or materials you'll need, including your
appointment calendar or
schedule planner.
___ Have your assignment task completed or your report ready
for the meeting - if you
volunteered or were assigned a task.
___ Make and take enough copies of handouts so everyone has
one (it's good to make a
few extra copies).
___ Make and take any visual aids you wish to use.
___ Request equipment you'll need well in advance - overhead
projector, slide projector,
computer projection equipment,
tape recorder, etc.

___ 3. Be a good participant:
___ Look confident.
___ Look interested.
___ Speak up when appropriate.
___ Be courteous.
___ Show respect for others' thoughts, ideas, and opinions.
___ Ask questions.
___ Avoid monopolizing discussions -- give all others an
opportunity to participate.
___ Avoid interrupting others.
___ Keep your comments brief and to the point - state
your
targeted points and/or
concerns then stop so others
can speak.
___ Don't criticize others; it's fine to disagree with ideas
and
opinions, but never
criticize the speaker or other people.
___ Don't get angry or defensive if others criticize or don't
"buy into" your
ideas.
___ Don't take rejection of your ideas personally;
remember,
they are rejecting your
ideas, not you!

in a "powerful" place; don't sit off in a corner, for example.
